Fundamentals of Automation and AI Agent Creation in Zapier

This training teaches practical process automation in Zapier, from simple tasks to more complex workflows – all without programming. Participants learn to build processes step by step, connecting commonly used tools such as email, forms, CRM systems, messaging apps, and company knowledge bases. The emphasis is on hands-on practice and examples directly transferable to everyday work. During the training, participants will learn how to prepare and structure data, plan delays and schedules, and create stable workflows that are resilient to common errors. The course also covers integrations with systems that do not have ready-made Zapier connections and handling data from emails. Finally, we explore proven use cases in marketing, sales, and operations, and teach troubleshooting and fixing issues in active automations.

Participant Requirements

  • Comfortable using a web browser
  • Zapier account (created during the workshop)
  • Basic knowledge of Google Sheets or Microsoft Excel
  • Accounts for applications used during the workshops – Google, Slack, Trello (created before or during the workshops). Familiarity with these tools, aside from Google Sheets, is not required

Module 2: Key Built-in Tools in Zapier (Practical Workflows)

  • Queuing automations and adding delays in workflows
  • Conditional filtering – when a process should run and when it should not
  • Simple content processing and translations in automations
  • Data formatting: text, numbers, dates, and other types before further use
  • Chrome extension to accelerate automation building
  • Hands-on examples

Module 3: Advanced Zapier Mechanisms and Multi-Source Data Handling

  • Branching process logic (different workflow paths based on conditions)
  • Using emails as a data source: extracting information and converting it into structured fields
  • Lead scoring and prioritization (simple evaluation model and automated actions)
  • Technical integrations: using webhooks to connect additional tools and transfer data
  • Troubleshooting and repairing automations: common errors, testing, and stabilizing workflows

Day 2 – Project Implementation

Module 4: Zapier Use Cases – Projects

  • Project: Automating email workflows and creating a “command center” for tasks and communication
  • Project: Social media automation – preparing, scheduling, and publishing content
  • Project: Creating an AI chatbot for customer service on Facebook
  • Project: Lead generation and segmentation – collecting data, qualification, and triggering further actions
  • Project: Autoresponder – incoming emails are analyzed by AI, which generates a ready-to-send response draft

Module 5: Closing Session

  • Best practices in automation design (clarity, error resistance, maintainability)
  • Further development paths: scaling processes and standardizing automation across the organization
